Overview of the HR – Educational Services Management Division of the Resource Management Department

Béatrice MARMARA is the head of the HR – Educational Services Management division within the Resource Management Department, which encompasses the following two areas:

The office for tenured teaching staff* comprises nearly 650 employees. This office is responsible for managing and monitoring all factors affecting teaching services (time off for research projects, delegated duties, and all types of leave). It also manages and monitors in-person and remote teaching services through various applications in preparation for the calculation and payment of overtime hours. Finally, it oversees all campaigns related to teaching services (part-time positions, CRCT and CNRS campaigns, etc.).

*professors, lecturers, associate professors, certified teachers, doctoral students, assistant professors, etc.

This includes external instructors and part-time teaching staff*, who number nearly 650. The mission of this second office is to manage and monitor the administrative files of part-time instructors, as well as to manage and track the teaching hours completed in coordination with the UFR’s academic departments in preparation for the various payroll cycles.

*professionals, private-sector employees, civil servants from other universities, etc.

In addition to these two areas, the division also manages a range of related tasks, including monitoring teaching agreements (both individual and blanket agreements), tracking financial reimbursements for various adjustments to teaching schedules, and verifying and monitoring payroll disbursements. It also prepares reports on overtime pay for both tenured and part-time faculty members.

Béatrice manages the four full-time staff members working on these HR projects on a day-to-day basis (including a part-time HR master’s student).

Within this division, his responsibilities include coordinating all staff assignments while adhering to the deadlines and schedules set by the HR department.

She is responsible for initiating the monthly verification processes for services through the PROSE application, as well as all the various administrative steps throughout the academic year that lead to the review and payment of teaching hours on OSE.

She also oversees the administration of teaching agreements in collaboration with the relevant academic departments, the Teaching Resources Management Office within the HR Department, the Finance Division, and the General Affairs Department, and is responsible for recording the corresponding teaching hours.

She oversees the tracking of service adjustments; data entry into the Ose system; and the monitoring of financial reimbursements in coordination with the Teaching Staff Management Unit of the HR Department.

It also develops reports and metrics at the request of management, particularly regarding budget monitoring for various overtime pay periods.

Béatrice works closely with various departments within the HR Division, such as the BGME, on all matters related to payroll, and more broadly with the Faculty Management Department on all matters related to teaching and the monitoring of campaigns.

His daily life seems to revolve around numbers and spreadsheets, yet his work is surrounded by a warm atmosphere of human connection.

His work allows him to maintain close relationships with teachers, department chairs, academic secretariats, and others…

That’s what he misses most about working remotely these days. There are fewer face-to-face conversations and less interaction with his team.

This new adaptation won’t dampen his good spirits or his meticulous work.
