Examinations : Teachers' area

- Invigilators are appointed by the Faculty of Science.
- Whenever possible, priority for invigilation of a test should be given to the teachers of that particular TU.
- Invigilators must be notified at least two weeks before the test dates.
- It is the responsibility of teachers to inform the Faculty of Science of any unavailability during the examination period, as well as any invigilation for tests not organized by the Faculty of Science
- Invigilators must be present in the room at least 15 minutes before the start of the test.
- The list of students authorized to sit the exam, the envelopes containing the subjects and the necessary materials (papers, drafts) are supplied by the Faculty of Science.
- The person in charge of the examination room has full authority to take all necessary measures to ensure the smooth running of the exam.
In particular:
- by reminding students to remain silent at the end of the exam, so as not to disturb students who are entitled to a third part-time exam.
- or in the event of a mass absence of students due to exceptional circumstances (bad weather, transport strike, etc.), he/she may ask the management of the Faculty of Science to postpone the exam.

Test procedure :

- The envelope containing the subjects must be opened at the time indicated for the start of the test.
- The actual start time of the test corresponds to the end of subject distribution. Students must be informed of this time and of the end time, in accordance with the duration of the test indicated by the teaching staff.
- Invigilators must check students' identity as soon as the test begins. Students must provide proof of their identity and student status in the form of an ID or student card. The sign-in sheet is signed by the student after proof of identity has been provided.

- Invigilators must check that students use only the equipment and
documents specifically authorized on the envelope containing the test papers.
- The second sign-in sheet must be signed by students on leaving the test, after they have handed in their papers.
- The person in charge of the examination room must fill in the minutes of the test, including:
- The list of invigilators present, signed by them
- The number of students present, the number absent, the number not registered.
- Any observations or incidents noted during the test.
These completed minutes must be submitted to the administration of the Faculty of Science.
- Copies handed in must be counted and given to the marking teacher or his/her representative.

Fraud investigation procedure

The following are considered to be examination fraud:
- communication with others in or outside the examination room.
- use of unauthorized documents.
- plagiarism
- use of unauthorized material. In particular, the use of cell phones or any other electronic device is strictly forbidden during examinations. These devices must be switched off and placed out of the immediate reach of students. The use of electronic translators is tolerated, and the person in charge of the test may check their operation at any time.

=> Procedure to follow in the event of suspected fraud

- The person in charge of the examination room is the sole judge of any attempted fraud.
- In the event of fraud or attempted fraud, the person in charge of the examination room must take all measures to put an immediate stop to the fraud, without however interrupting the student's participation in the test, except in the case of an obvious disturbance to the smooth running of the test.
- He/she must seize any documents and/or materials that may subsequently be used to establish the facts.
- He/she draws up a report countersigned by the other invigilators and by the perpetrator(s) of the fraud or attempted fraud. In the event of refusal to countersign, this is noted in the minutes.
- He/she must bring the fraud to the attention of the person in charge of the jury and the management of the Faculty of Science, who may ask the President of the University to refer the matter to the Disciplinary Board of the institution's Board of Directors.
- If the student is allowed to continue with the test, his/her copy must be treated in the same way as the others, and no particular mention must appear on it. The jury must deliberate on the student's case in the same way as for other students.

No certificates or transcripts can be issued to students until the relevant disciplinary section has made a final decision.

=> Fraud investigation

- It is the responsibility of the Disciplinary Committee of the Board of Directors.
- The person in charge of the test submits a detailed report of the facts and any supporting documents to the Chairman of the Disciplinary Committee. These documents must also be forwarded to the students concerned.
- The Chairman of the Disciplinary Committee convenes an Investigation Committee made up of two teachers (one of whom will be appointed as rapporteur) and a student representative. This commission may hear the supervisors and the student concerned.
- The sanctions applicable are
- a warning
- a reprimand
- temporary exclusion from the establishment for a maximum of 5 years, possibly suspended.
- permanent exclusion from the establishment
- temporary exclusion from all higher education establishments for a maximum of 5 years.
- permanent exclusion from all higher education establishments.
- These sanctions may result in the test being declared null and void.
- Sanctioned students may appeal to the Conseil National de l'Enseignement Supérieur et de la Recherche (National Council for Higher Education and Research) within two months of being notified of the decision.

Grades can be entered either online or by extracting/importing a csv file for use in Excel. Several tests can be entered for each TU : C= Continuous assessment, T= Practical work, E = Final written exam. The "enter filter" tab can be used to sort a student population (by TD group, for example, as in the student directory application).
Warning! During the extraction/import procedure, do not make any changes to the file (do not add a line, correct a name etc....); only the grades and scales columns need to be filled in.

If students have attended your TU but do not appear in the list, you will need to forward their grade to the school, which will enter it after the application has been closed.

Once you've entered your notes, you can modify them until you close the application.

Methodology used

In the first instance, supervisory staff are those involved in teaching atTU . (Information extracted from PROSE)

However, if the number of students to be supervised at TU , which is part of a teaching department, were to be large (TU for bachelor's degrees in particular), and if the number of teaching staff were to be insufficient (number of staff too small, people declared unavailable, or people already assigned to other supervision at the same time, etc.), it was agreed, failing that, and in the absence of volunteers, to draw alphabetically from the list of all staff in the same department (list validated by the head of department).

This is done until the required number of supervisors is reached, and so on.
Of course, the next time reinforcements are needed, the list will be taken from where it left off.

This is why, sometimes, people may find themselves supervising a module in their department in which they are not involved.
